HEMA Tutorial

Terms & Conditions

HEMA Tutorial is the trading name of HEMA Tutorial Partners LLP, registered in England and Wales. Registered address: 54 London Road, Mitcham, SM4 5BE.

1. Introduction

1.1 These Terms and Conditions govern the provision of tuition services — both in-person and online — by HEMA Tutorial (“HEMA”, “we”, “us”, “our”).

1.2 By enrolling a student, the parent or legal guardian (“you”) agrees to be bound by these Terms and Conditions.

1.3 These Terms should be read alongside our Privacy Policy, available at: www.hematutorial.com/privacy-policy

2. Nature of Services

2.1 HEMA Tutorial provides group tuition sessions, educational materials, homework, and assessments.

2.2 Our services operate under two distinct models:

• In-person tuition: a recurring weekly class with a reserved place, billed monthly in advance.
• Online tuition: pay-as-you-go sessions or products purchased individually via our website.

2.3 HEMA does not offer trial sessions. Enrolment secures a reserved place in an ongoing class, or access to an online session or product.

2.4 Enrolment is made by a parent or legal guardian, who remains responsible for all obligations under these Terms.

3. Registration and Parent Responsibility

3.1 You must provide accurate and up-to-date information when registering, including contact details, medical information, and emergency contacts. HEMA relies on this information.

3.2 Parents are responsible for:

• ensuring the student attends punctually and appropriately prepared
• maintaining a suitable and distraction-free learning environment, particularly for online lessons
• checking all communications from HEMA, including spam and junk folders
• responding to reasonable administrative communications in a timely manner

4. Fees and Payment

4A. In-Person Tuition — Recurring Classes

4.1 Fees are payable monthly in advance. A payment link will normally be issued at the start of each month. Payment is expected within a reasonable time of the link being issued.

4.2 Your monthly fee secures a reserved place in your child’s weekly class. It is not a payment for individual sessions, and fees remain payable regardless of attendance.

4.3 Where a student is absent, please refer to Section 8 regarding our approach to absences, refunds, and credits.

4B. Online Tuition — Pay-As-You-Go

4.4 Online lessons and resources are purchased individually via our website.

4.5 Purchase grants access to the relevant session and any associated materials.

5. Late Payment

5.1 Where payment is not received within a reasonable time after the payment link has been issued, and remains outstanding after reminders, HEMA reserves the right to:

• suspend the student’s attendance
• withhold classwork, homework, or marking
• release the student’s reserved place to another student

5.2 Repeated late payment may result in:

• a requirement to pay earlier or further in advance
• refusal of future enrolment

5.3 HEMA reserves the right to charge a reasonable administration fee of up to £10 for repeated late payments or repeated payment chasing.

6. Attendance and Missed Lessons

6A. In-Person Tuition

6.1 As fees secure a reserved place rather than individual sessions, they remain payable whether or not the student attends.

6.2 Where a student misses a session, HEMA will, where possible:

• provide classwork and homework for the missed session
• offer access to an alternative online session or rescheduled class

6.3 Alternative arrangements are offered at HEMA’s discretion and are not guaranteed. Please refer to Section 8.

6B. Online Tuition

6.4 If a student does not attend a purchased online session, that session is treated as used. Materials may still be provided at HEMA’s discretion.

7. Work Provision and Communication

7.1 Work and communications are deemed provided once sent to the registered email address or the usual communication platform agreed at enrolment.

7.2 Parents are responsible for ensuring HEMA communications are not blocked, and for checking spam and junk folders regularly.

7.3 HEMA is not responsible where communications are not received due to incorrect details or filtering settings. Failure to locate communications does not entitle a refund.

8. Absences, Holidays, and Exceptional Circumstances

8.1 We understand that students may be unable to attend due to holidays, school commitments, illness, injury, bereavement, or other exceptional circumstances. We aim to treat situations fairly and reasonably.

8.2 For planned absences, parents should notify us as early as possible. Where reasonable notice is given, HEMA may, at its discretion, offer one or more of the following:

• a proportional credit or refund
• classwork and homework for the missed session
• access to an alternative online class or rescheduled session where available
• a temporary pause of attendance while retaining the student’s place, where appropriate

8.3 For unexpected emergencies, HEMA will consider the circumstances fairly and may offer a credit, refund, pause, or alternative arrangement.

8.4 Whether a refund or credit is agreed will depend on:

• the timing and nature of notice given
• whether materials or marking have already been provided
• the availability of alternative arrangements

8.5 Where a refund or credit is agreed, HEMA may withhold classwork, homework, marking, or feedback for that session.

8.6 To request a refund, credit, or alternative arrangement, please contact admissions at hematutorial.com.

9. Withdrawal

9A. Withdrawal by Parent

9.1 Parents may withdraw a student from in-person tuition at any time by providing written notice to admissions at hematutorial.com.

9.2 Where withdrawal is confirmed before the start of a new monthly billing period, no further fees will be payable.

9.3 Where withdrawal occurs after a monthly period has begun, fees for that month remain payable and are not normally refundable. Withdrawal will take effect at the end of the current paid period.

9.4 No notice period applies to online pay-as-you-go sessions, which are purchased individually.

9B. Termination by HEMA

9.5 HEMA reserves the right to terminate enrolment by giving one calendar month’s written notice. Any fees paid in advance beyond the notice period will be refunded.

9.6 In cases of serious or repeated misconduct, HEMA may terminate enrolment with immediate effect. A fair refund will be considered where appropriate.

10. Student Materials

10.1 Upon withdrawal or termination, any physical student materials should be collected within a reasonable period.

10.2 HEMA will retain materials for up to four weeks.

10.3 After this period, materials may be securely disposed of or recycled.

11. Behaviour and Conduct

11.1 Students must behave respectfully at all times.

11.2 Parents must communicate respectfully with staff.

11.3 HEMA may remove a student for serious or repeated misconduct. A fair refund will be considered where appropriate.

12. Health and Safety

12.1 Students should not attend in-person sessions if they are unwell or contagious.

12.2 HEMA may refuse attendance where necessary to protect others.

13. Online Lessons and Safeguarding

13.1 Students must participate in a suitable environment.

13.2 Parents are responsible for appropriate supervision where required.

13.3 Recording of sessions is strictly prohibited.

14. Materials and Intellectual Property

14.1 All materials remain the property of HEMA Tutorial Partners LLP.

14.2 Materials are for personal use only. Sharing, uploading, copying, forwarding, redistribution, or use by other tutors, organisations, or educational businesses is strictly prohibited.

14.3 Breach may result in removal without refund.

15. Changes to Services

15.1 HEMA may change tutors, schedules, or delivery methods where necessary.

15.2 Reasonable notice will be given where possible.

15.3 Where a material change substantially affects attendance, HEMA will consider waiving the notice period or offering an alternative arrangement.

16. Limitation of Liability

16.1 HEMA does not guarantee academic outcomes.

16.2 Nothing in these Terms excludes liability where it cannot legally be excluded.

16.3 Subject to clause 16.2, HEMA’s liability is limited to the fees paid in the three months preceding the event giving rise to the claim.

17. Complaints

17.1 Complaints should be sent to admissions@hematutorial.com.

17.2 We will respond within 10 working days.

18. Privacy and Data Protection

18.1 Personal data is handled in accordance with applicable law and our Privacy Policy.

19. Refusal of Enrolment

19.1 HEMA reserves the right to refuse enrolment or re-enrolment.

20. Governing Law

20.1 These Terms are governed by the laws of England and Wales.

20.2 Any disputes arising under or in connection with these Terms are subject to the exclusive jurisdiction of the courts of England and Wales.

21. Amendments

21.1 HEMA may update these Terms from time to time.

21.2 Updated Terms take effect once published on our website.
